Zoom Meeting Guidelines & Preparation

To ensure a smooth and efficient Zoom meeting, please follow these best practices before we connect.

Before you join

Choose a quiet and private space.

  • Be in a location where you can speak and hear privately without distractions or background noise.
  • Let others know you’re in a meeting to minimize interruptions.
  • Consider using a headset for better audio quality and privacy.
Get set up

Log in early and test everything.

  • Open Zoom and log in at least 8 minutes before the meeting to avoid delays.
  • Test your camera, microphone, and speakers or headset to ensure they are working properly.
  • Adjust the camera angle for good framing with clear lighting.
  • Ensure you have a stable, strong internet connection. Use a wired connection if possible for greater reliability.
Know the tools

Familiarize yourself with Zoom features.

  • Know how to mute/unmute yourself, turn the video on/off, and use features like screen sharing, chat, and reactions.
  • Check your Zoom settings to ensure the correct microphone and camera are selected.
Stay focused

Close unnecessary programs and notifications.

  • Exit any programs that may slow down your computer or cause distractions during the meeting.
  • Silence notifications on email, chat, and other apps to prevent interruptions.
